Stellar Science is a growing Albuquerque-based scientific software development company with a 25-year history of developing custom software products for government customers. Stellar Science Headquarters is in Albuquerque and supports a geographically distributed staff and customers in multiple locations across the U.S.

We are looking for an experienced, self-motivated, energetic professional to be the first point of contact for our company and offer administrative support across the organization.  Strong communication skills are a must.

Stellar Science is largely paperless, so strong computer skills are essential.

This is a full-time position, with some flexibility for candidates desiring ¾ time work, with core hours of Monday through Friday 9:00 am to 3:00 pm. Remote work is not supported for this position.

Responsibilities include:

  • Welcoming guests and directing visitors to the appropriate person and office
  • Arranging travel, meetings and appointments for employees
  • Maintaining accurate records in spreadsheets and various proprietary systems
  • Working with the hiring team to schedule interviews, arranging travel and lodging for interviewees
  • Maintaining various company calendars, conference room, and teleconference scheduling
  • Processing employee employment paperwork
  • Answering calls, forwarding employment verifications, and answering employee benefits and basic human resource questions
  • Maintaining the efficiency, cleanliness, and orderliness of Stellar Headquarters
  • Sending out employee mailings monthly and annually
  • Maintaining and replenishing office supply inventory
  • Coordinating office equipment requirements, layout, and maintenance
  • Running occasional errands (must have a reliable vehicle and valid driver’s license)
  • Receiving, sorting and distributing daily mail/deliveries
  • Coordinating with building management on office maintenance and cleaning
  • Planning event catering and maintaining kitchen supplies and food inventory
  • Executing operational projects and other duties as assigned including various data entry and document management.

Minimum Requirements:
High school diploma or equivalent
1-2 years of relevant work experience as a receptionist or administrative assistant
Professional attitude and appearance
Flexibility to adapt to short notice changes to schedules/calendars
High levels of proficiency are required in:
  • Creating and editing documents and spreadsheets in Microsoft Word and Excel
  • Email programs such as Outlook or Thunderbird
  • Web-based programs such as Google Calendar, Office365
  • Scanning and uploading documents
  • Computer document filing or version control systems
  • Organization, time-management, and the ability to prioritize tasks

Due to the nature of the work performed at Stellar Science, US Citizenship is required.

Desired Qualifications:
College education
Previous office assistance or scheduling experience in a fast-paced environment
Previous experience with accounting and/or human resources.
